Privacy Policy
Last updated: October 13, 2026
SimFrame is operated by Solbits Software Inc. (“SimFrame”, “we”, “us”), a company based in Nova Scotia, Canada. This policy explains what information we collect through the SimFrame website and application, and what we do with it.
SimFrame is in alpha with a small group of testers. We will update this policy as the product develops.
No Patient Information
SimFrame is for healthcare education and simulation. Do not enter identifiable patient information or personal health information anywhere in SimFrame, including scenarios, uploaded files, and conversations with the AI assistant.
What We Collect
- Alpha applications: your name, email address, and organization.
- Your account: your name, email address, and the organizations, teams, and roles you have in SimFrame.
- Your content: the scenarios, templates, files, links, sessions, and tags you and your colleagues create, and your conversations with the AI assistant.
- Technical information: basic details such as IP address, browser, and pages visited, plus error and performance reports. Error reports and screen replays used for troubleshooting are set up to hide all text, form inputs, and images, so they do not capture your content.
We use cookies only to sign you in and keep your session secure.
How We Use It
We use this information to run, secure, and improve SimFrame, to respond to you, and to contact you about the alpha. We do not sell your information or use it for advertising.
The AI Assistant
The assistant is optional. When you send it a message, your conversation and the content of the scenario you are working on are sent to our AI provider, OpenAI, to generate a response. Your name and email address are not included, and the contents of uploaded files and images are not sent. Your conversation is saved with the scenario so you can return to it.
Who We Share It With
People in your organization can see and edit your organization’s content according to their permissions. Anyone with a session’s participant link can see that session’s arrival details and participant preparation resources.
We share information with the companies that help us run SimFrame, only as needed to provide their services:
- Amazon Web Services: hosting and file storage
- Convex: database
- WorkOS: sign-in and accounts
- OpenAI: AI assistant responses
- Sentry: error monitoring
- Cloudflare: domain services
These providers may process information outside Canada, including in the United States. We may also disclose information when the law requires it, or as part of a sale or merger of the business.
Keeping and Deleting Information
We keep your information for as long as you use SimFrame or we need it to run the alpha.
Deleting something in the application removes it from your organization’s library, but a copy may remain in our systems, including in version history and backups. To have your account, your content, or your alpha application permanently deleted, or to get a copy of the information we hold about you, email us and we will respond within 30 days. Requests about content that belongs to an organization may need that organization’s agreement.
Because SimFrame is in alpha, content may occasionally be changed or removed as the product develops. Keep your own copy of anything you cannot afford to lose.
Security
We protect information with encrypted connections and access controls based on organization and team permissions. No online service is completely secure.
Changes and Contact
We may update this policy, and will post changes on this page. If you have a question or a request about your information, contact us at privacy@simframe.app.
